President David Ward called the meeting to order at 7:35pm David introduced Andrew Hoover - a new U-8 coach.

Review of Meeting Minutes: USA Meeting Minutes from July 16th were reviewed.  Karen made a motion to accept the minutes as they are and Clif seconded it.

  1. Registrar’s report (Karen Selwyn): Karen reported that we have 360 players registered for the USA.  Coaches were asked to please let Karen know ASAP if you have any players who have dropped out from your teams.  At this time we have only one player on the waiting list and that is a U-12 girl. If anyone approaches a coach about playing they must send a completed registered form into Karen before they are told if their registration is accepted and placed on a team or a waiting list.  The final roster must be completed and turned into FCYSL by the last Wednesday in September.  After that we will accept no more registrations for the 2002 Fall season.  David has heard that Carroll Manor has dropped their U-14girls team.  Clif is in need of players for his U-14 co-ed team he will find out if he can get any of those players to move over to the USA to fill his vacant spots.
  2. Treasurer’s report (Al Selwyn):  Al reported that at the present time we have a balance of $15,373.00 in our treasury.  He anticipates more bills to flow in.  Along with some misc bills we still need to pay for referee fees, MSYSA fees, a set of U-8 goals and quick goals. 
  3. Vice Presidents Report (Andy Keen):  Andy attended a referee class in Hagerstown and received a clarification on the sleeveless uniforms.  For the 2002 season any teams who have already purchased sleeveless uniforms will be allowed to use them.  However sleeve ties will not be allowed.  The referee’s will ask your team to remove them.  (On very hot days there may be a referee who will make an exception but we should get the kids use to the rule and not let them wear them).  Same thing goes with the no jewelry rule.  Please tell your team and their parents now that no jewelry will be allowed which include earrings of any type, watches, bracelets, necklace, and any hair clips of any kind.  There was a discussion on the old Hot Head rule.  Andy’s report on this rule is that if a player gets a yellow card you are not allowed to sub that player unless it is your proper spot in the game to do a substitution.  However you can always remove a player from the field to let him cool down and play short as long as you inform the referee  you are doing this. 
  4. Secretary’s Report (Cindie Beach):  Cindie was not present.
  5. Coaches Education (David Ward): David reported that there is an E license class on November 2nd and 3rd, 2002 Sponsored by the Thunder Soccer Club which is located in Glenelg, MD.  If interested contact Tony Corbett at 410-740-5597.  The same club will be sponsoring a D license class taught by Graham Ramsay on November 7th-10th, 2002 use the same contact information.  Saint Michaels usually holds a D license class the week after Christmas as soon as David receives information he will inform the group.
  6. Coaches Night:  There will be a coaches night at the Urbana Park date will be on Thursday September 10th at 7:00pm. Andy will go over the laws of the game.
  7. Field Maintenance (David Ward):  David and his son Brooks did maintaince on all the nets.  Seems like the elastic ties used are lasting longer then anything else we have tried.  Parks and rec is suppose to come out to the park and aerate fertilize and put down sod on the upper field.  Donna will work with Jim Patton and have him come out and survey the field and get a price on the sod.  Karen reported that there have been people driving on the lower field to the back shed.  This is prohibited.  For the safety of our children and to keep proper fields conditions please park in parking spots in the parking lots only. 
  8. Newsletter update/status (Carole Thompson):  Carole has the newsletter ready and it is at the printers.  The newsletter is up to six pages so the cost will be a bit more.  Once again if you have anything that you would like to see in the next newsletter get it to Carole.  She does a great job.
  9. Indoor Soccer (Cliff Carey): Donna called the Soccer Plex in Germantown.  They do not have their winter program set yet. The Sports Plex in Frederick Carol Shortt is contact person and Clif will contact her for their program information.
  10. Pictures (Lenore Ott):  Lenore was at the meeting and handed out all picture forms and schedules to the coaches who were there.  For those of you who missed the meeting your forms will be available for you to pick up on Saturday at the 4-v 4-tournament registration desk.  If you have to make any changes on your schedule date or time please let Lenore know ASAP.

 

  1. 4 v 4 Tournament (David Ward):  The tournament is this weekend August 24th with a rain date of the 25th.  If you haven’t already please let David know how many teams you want to enter.  (Urbana teams do not pay registration fee).  Make sure that you fill out the roster form and hand it in to the registration desk on Saturday.  You can find this form on our web site.  A big thank you to Lenore who spent endless hours putting together a group of volunteers to work the tournament. We still need volunteers to line the fields.  David will be at the park on Thursday at 1:00pm - there are 12 fields to line if you are available please show up to give David a hand. Greg Buzard (from Middletown) will take care of getting all the referee’s We will have about 90 teams in this years tournament.  Please make sure that you arrive 15 minutes prior to your start time to sign in your team.  Start times are U-8 8:00am, U-10 10:30am, U-12 1:00pm and U-14 3:30pm there will be an open division starting at 6:00pm if you want to play report to the upper field about 5:45pm and you will be put on a team.  This is for fun and there is no entry fee for the Open division.  Please remind your players to bring lots of fluids - it is forecasted to be a hot day.  There will be a concession stand sponsored by the Girl Scouts for your convenience. 

 

  1. Equipment (David Ward):  The new goals are in for the U-8 field.  They are laying in boxes on the field (old hill) if you can spare some of your time and would like to put together those goals go right ahead and do so.  In the shed there is a parts box if you need anything for this task.  Lets spread out the work David and Al have done so much

 

  1. Sponsors:  Thanks to the efforts of David and Becky Ward and a few others we are in great shape with our sponsors.  We did loose five previous sponsors however we gained seven new sponsors.  If anyone stills has an interest in being a USA sponsor please give David or Becky a call.

 

  1. Field Lining:  David, Al lined the upper field last Saturday.  The size of the field is 65 x 109 yards.  The men’s league did send David a thank you note.  The lower and U-8 fields are going to be lined on August 31st.  If you are free to lend a hand show up at the lower field at 9:00am.  The more help that shows up the faster this process goes. 

 

  1. Weekly Field Lining:  The fields need to be relined each week.  This will be done on a rotating schedule starting with the older teams and moving down.  David will email you that schedule.  The field lining should be done on Thursday leaving Friday as an option in case of bad weather.  Remember if it's your turn to line the fields you must do all three fields.  

 

  1. Injury Reports:  There are about five injury reports in your med kits.  If you need more you can find them on our web site.  Please fill out this report and return to David or Al ASAP.  The report should be used for any injury or situation in which additional attention to the situation is required.  For example additional medical attention or whenever authorities are called.  Any questions please give David a call.

 

 

 

  1. Game Protocol:  Refer back to David’s email on this.  Setting up the field for home games.  This is done by the team who has the first game on game day.  Go into the shed and get a set of four corner flags and three proper sized game balls.  The flags go on each corner and the balls are placed one in the center of the pitch and one at each end behind the goals.  Please remember it is important that if no one is waiting to play after your game to place this equipment in the shed.  These game balls are good balls and we don’t want to have to replace them this year.  If you need to change a date or time of a game you must contact David Ward no later then Wednesday of the week your game is scheduled for.  David will then let you know if your game will be changed.  If you forfeit a game for any reason please find a way to play a fun game for the kids. Remember to call in the scores of your games no later then 6:00pm  on Sunday evening.  Call in wins as well as looses. Phone number is 301-865-4600.

 

  1. Uniforms:  All uniforms will be ready for Saturday’s 4 v 4 tournaments.  You may receive an email from David as early as Thursday so that you can pick your uniforms at the park before Saturday.

 

  1. Game Conduct:  It might be a good idea to hand out the Code of Conduct forms that Karen put in your coaches packet last month.  Game conduct goes for coaches, players and parents.  If you have any problem with your players or parents on this matter please report the incident to David.  You can find a copy of the Game Conduct on the web site.

 

  1. Referee Fees:  Al will give each coach a check that will cover your referee’s fees for the season.  It is your responsibility to pay the referee his fee prior to the start of your game each week.  A remainder that the referee’s only accepts cash.  Might be a good idea to have the proper change.  Al will also have an instruction sheet so you know how much you need to pay.  If you forfeit a game for any reason the referee still must be paid. 

 

  1. Urbana High School Players:  We are pleased to announce that we had many players from the USA’s 2001-2002 season make the UHS teams.  They are as follows:  Boys team are Brooks Ward, Kevin Selwyn, Matt Adams, Matt Wirth, James Bower, Nathaniel Jones, Chris Abraham and Girls team are Paula Bartosiewicz, Amanda Chase, Stephanie Green, Jessica Campbell, Jessica Griffin, Alyson Hokanson, Courtney Williams, Allison Zombolas and Stephanie Gwinn. Congratulations and good luck. 

 

  1. New Business:  Water shortage:  After the parks and rec do their work on the upper fields we have the task of making sure that the field gets watered.  Andy was given the task of finding means of doing this.  Some suggestions were to contact the fire department, local builders, local lawn care companies and any place that sells pool water.  Dave suggested that we have a picnic play around for all of our volunteers.  Donna will chair this and will be held on a Sunday in September.  Last but not least there will be a Mandatory FCYSL coaches meeting to be held on August 28th at 7:30 at Monocracy Middle School.  Dave will get an email out with the time.  At this meeting all the schedules will be available. 

 

The meeting was adjourned at 9:30pm by a motion made by Andy and seconded by Clif.
