Ijamsville Methodist Church

Attendees:  David Ward, Andy Keen, Karen Selwyn, Al Selwyn, Donna Pike, Nick Choobineh, Steve Mayberry, Mike Dunn and JoAnne Bodine

USA President David Ward called the meeting to order at 7:39am.

Minutes:  The minutes were approved as submitted by Karen Selwyn and seconded by Andy Keen.

Registrar’s Report:  (Karen Selwyn) Karen reported that the USA now has 461 players registered.  A note to all coaches if you have any player for any reason drop off of your team Karen must be notified.  At this time refunds will no longer be distributed.  There were no request for refunds this season.  U-6 program is closed to any more registrations.  There is a waiting list at U-14co-ed.  If any coach is approached regarding adding a player to their team please direct these inquiries to Karen.

Treasurers Report:  (Al Selwyn)  Al reported that we have $14,432.00 in the  USA Treasury.  There are plenty of bills coming in that have to be paid.  We are slightly over budget on some items but this should even itself out.  David did receive a check from Staples for $130.00 as a donation.  Kristen from Staples was an important person surrounding this.  Al will send out a thank you note to her.

Vice President’s Report (Andy Keen)  Andy reported that all goals are built and moved to their respected soccer fields.  The game fields need to be lined for the first time this season.  The first time takes many hands and a few hours.  The date for this is Saturday March 29th.  Andy will send out an email to schedule this.  The U-10 girls would like to use the lower field for an in-house tournament on the afternoon of the 29th.  Andy will put together a schedule for weekly field lining.  This schedule will follow the schedule used in the fall.  The field lining should be done on Thursday evening leaving Friday open as an optional date incase of rain.  We now have three paint machines.  There are three game fields that need to lined each week.  The upper field, lower field and the U-8 field.  Andy suggests that you give this task to one of your parents while you are having practice.

Secretary’s Report (Donna Pike) Nothing to report.

Coaches Education:  (David Ward) Andy Keen will attend the E course being hosted by Frederick County held at Heritage Farm Park in Walkersville March 21-22, 2003.  Steve Mayberry and Harry Hurst attended the E course at the Soccer Plex in Germantown on March 15-16, 2003 hosted by MSI.

Field Maintance:  (David Ward) David reported that 1,200 yards of Blue Grass Sod from J.H. Patton and Sons were delivered to the Urbana Park Upper field. The County has been contacted and will install the sod as soon as the weather clears up this week.  Many thanks to Chuck Woodcock and James Patton.  They both have received an Urbana Jacket in appreciation.  The Parks and Rec department will fertilize all the game fields.  David has notified them not to aerate any of the game fields this season.

Newsletter update/status:  (Carole Thompson) Carole Thompson has been sick.  If anyone would like to volunteer to help Carole with the newsletter it would be appreciate.  If you are interested please call David Ward.

Indoor Soccer: (Cliff Carey) Cliff Carey was not present at the meeting.

Pictures:  (Jamie Dunn) Mike Dunn brought photo packets that Jamie had prepared.  In the packets you will find a schedule, which will show the date, and time your team will get pictures taken.  Mike gave these packets to those coaches in attendance.  If you were not at the meeting you will find your photo packets in the shed.  If for any reason you need to change your date and time for your team you are responsible to contact the photographer Bill Adkins directly.  Bill's number can be found on the photo packets.

Volunteer appreciation Dinner:  (David Ward) the dinner was a lot of fun.  There were many of the coaches in attendance this year.  Many thanks goes out to Jimmy.

Game Protocol:  (David Ward) David wants all coaches to follow the USA’s game protocol.  Remind your players that there is no jewelry.  Before your games please pay the center referee all fees in cash.  All players will thank the referee and shake hands.  A child is never to be left alone.  Please stay with players until parents have arrived.  USA gets charged $10.00 for every rescheduled game.  David will get out to coaches a game protocol for them to follow.

U-8 Clinic:  (David Ward)  David has asked Bo Eskay to put on a clinic for all U-8 coaches and players.  The clinic is scheduled for Saturday March 29th from 9:00am to noon.  Coaches please inform your players and come ready to play.  David will call all U-8 coaches to let them know.

Uniform distribution: (David Ward) Uniforms will be available in the shed and can be picked up by Friday March 19th.  If for some reason David or the parents have made a mistake on sizing please let David know as soon as possible.  Remember the golden rule if you sweat in the uniform you own it and it can no longer be replaced.  If any parent wants to order an additional uniform the price of the shirt will be $15.00 and shorts $10.00.

DC United/Freedom doubleheader tickets:  (David Ward/Al Selwyn)  David has ordered 110 tickets.  The date of the game will be May 17th and the price will be $15.00 per ticket.  If interested please contact David or Al.  All checks should be payable to Urbana Soccer Association.

Coaches “night”:  (David Ward) The Spring season is under way.  The coach’s nights will be tabled until before the Fall 2003 season.

Middletown 4 v 4 tournament: (David Ward) The tournament will be Saturday March 22nd with a rain date of March 23rd.  Just a reminder the USA is not going to pay registration fees this season for this tournament.  The fee is $50.00 per team and David has sent to all coaches a registration.  Good luck to those who enter.

In-house Dutch-style 4 v 4 tournament:  (David Ward) Members in attendance voted to support this Dutch-style tournament.  David will organize with help from others.  The date of the tournament will be April 19 (Easter Saturday) and will be at Urbana Park.  There will be a trophy presented to each age winner.

Rebounding “benches” for Upper/Lower Fields:  (David Ward) This task has finally been completed.  There were 10 benches built.  Five of the benches can be found at the upper field.  There have been three benches placed on the lower field between the tennis courts and the U-10/12 game field.  As soon as we find more space the remaining two walls will go out.  Please encourage your players to use the walls.  Many thanks to all the hands who helped make this task possible.

U-10/U-12 Field Size: (David Ward) The size of the present game field is 40 x 60.  There have been many concerns by coaches that the size of the field needs to increase back to its original size, which was 50 x 70.  Members in attendance voted and to move the field back to 50 x 70 was approved.  This will be completed when the fields are lined on March 29th.

End of Season Tournaments:  (David Ward) Many teams attended the Chevy Cup last season, which was held at Mt. St. Mary’s in Emmitsburg.  The tournament was not a great one.  David suggested that the USA support the Boonsboro tournament.  They ran a really nice tournament last season.  If you of course want to take your team to any other tournament it is up to you.  The USA will pay your entry fee up to what the fees for the Boonsboro tournament would be.  Anything more you are responsible for.

UK Elite Camp for Summer 2003:  (Donna Pike) Donna has been in contact with Steve Roper from the UK Elite.  The camp will be held at Urbana Park the week of July 7th, 2003.  We will have two sessions morning and evening.  There will be flyers coming out to all the coaches beginning of Spring Season.  At this time our camp is listed on the UK Elite website and you can start registering now.  Cost is $115.

Shooting Wall for lower field:  (David Ward) The building of the shooting wall is on hold until we complete the spring season.  We have approval from Parks and Rec to build the wall.  Bob Hadjar will take on handling this project.

Plugging holes in U-10/12 goals:  (Al Selywn) Al will take on this project and make sure that all goals are plugged against bees.

New Business:  (All) Nick asked a question are we allowed to use the Windsor Knolls School outer wall as a rebounding wall.  David will find out and give Nick an answer.  Also we are going to have a family picnic/game night at the park on June 8th.  Donna will chair this function.

The meeting was adjourned at 9:14pm.
