Urbana Soccer Association Monthly Meeting

Ijamsville Methodist Church

Attendees:  Charlotte Jordan, Dave Cromartie,  Andy Keen , Al Selwyn, Karen Selwyn, David Ward, Harry Hurst, Herbert Avila, Stephanie Downs, Greg Mason, Todd Fahlfeder

USA President David Ward called the meeting to order at 7:34 pm. 

Minutes:  The March meeting minutes were approved by Andy Keen and seconded by Harry Hurst.

Registrar’s Report:  (Karen Selwyn)   Fall Registration information is on the website (http://www.urbanasoccer.org).  Registration packets will be mailed in early June to current Urbana players.  Walk-in Registration will be held during the week of Division 1 Tryouts (week of June 6th) and on June 25th at the Urbana Pavilion from 9:00 a.m.- 12:00 p.m.  The deadline for registrations is July 1st but Please send in your registrations as soon as possible.  Fall Registration flyers will be sent out to the Elementary schools in June.

Treasurers Report:  (David Ward) The Field Fund has $8,035.75 and the Operating Budget has $16,606.00 in the treasury.  The following expenses still need to be paid: Urbana Soccer Association Scholarship, Participation Awards, Tournament fees and Grass Cutting fees.

Vice President’s Report: (Andy Keen) Field requests were completed for FCPS fields (Oakdale Middle, WKMS and Urbana Elementary) for Fall 2005. 

Secretary’s Report: (Stephanie Downs) The Frederick County Youth Soccer League meeting was attended on 4/27/05.  Final Registration forms were turned in.  Upcoming tournaments, scheduling issues, coach and player incidents and adjusted rosters were discussed.

Coaches Education:  (David Ward) There will be an E License course in Pasadena, Md on June 18-19.  There will be a C License course given at the Maryland Soccerplex on July 30-Aug 7th.  There will also be a D License course given in Sykesville on July 16-17 & July 23-24.  Information can be found at:   http://msysa.org/.  There is also a National Youth License course being given in Virginia on August 19-21. 

Field Maintenance:  (Rod McNiff) Not Present.  End of season maintenance needed:  Move portable goals.  Lock goals to fence on Upper field.  This needs to be completed after the June 11-12.  For the Fall season, we will need to make the upper field slightly shorter and the lower field needs moving.  Coaches should try to stay out of the penalty boxes during practice to avoid over-use.

Equipment:  (Herbert Avila).  Nothing additional is needed.

Merchandise (Harry Hurst)   Approximately 20 additional jackets are needed.  Harry will research to determine the amount needed to be purchased to allow a price break (if possible).  He will also price wrist bands and sleeve ties for the Fall.

Elections (David Ward)  Herbert Avila was nominated Treasurer and Harry Hurst was nominated Vice President.  Both accepted their nominations and were voted in unopposed.     

U6 Program – Current and Future:  (Greg Mason) The U6 program has 104 players and Greg has divided them up into 8 groups of 13 players.  Each group (team) has a coach that helps them to move through the four stations (10 minutes each) and 4v4 (45 minutes).  The coaches with the teams and the coaches at the stations have helped the players to be more focused (and less clingy) and allows for more parent involvement.  Greg believes that one hour is more than adequate for this age group (instead of one and ½ hours) and U6 Saturday sessions in the Fall will be shortened to one hour.  If the same number of players register for the Fall, Greg may separate age groups (4-5, older 5’s-6) to allow more participation by the younger players.

U10 Program –Curriculum and Structured Starting Fall 2005 (David Ward) David will write up a curriculum for a U10 program (similar to the current U8 program) and wants to have a group practice session for the U10 players starting in the fall.  Several coaches expressed concern with less team practice and less flexibility to concentrate on team needs.  We will discuss this idea again at the next meeting.

Fall Div 1 Tryouts (David Ward)   Division 1 Tryouts for the Fall 2005 Soccer Season will be held from 6:00-8:00 p.m. on the following dates:   Monday, June 6th (U10), Tuesday, June 7th (U12), Wednesday, June 8th (U14).  Thursday, June 9th & Friday, June 10th will be reserved for rain dates.  Girls will be on the Upper field and Coed players will be evaluated on the Lower field.  A second Tryout session will also be held on Saturday, June 11th :  U12 Girls 10:00-12:00; U12 Coed 12:00-2:00; U10 Girls 2:00-4:00; U10 Coed 4:00-6:00.  All tryouts will be at the lower field.  There will also be a Tryout session on Sunday, June 12th: U14 Girls 1:00-3:00; U14 Coed 4:00-6:00; on the lower field.  The following coaches will be responsible for each Tryout Session:

U10 Girls: Dave Cromartie;U10 Coed:  Mark Keating; U12 Girls: Harry Hurst;U12 Coed: Steve McKinley; U14 Girls: Al Selwyn; U14 Coed: Clif Carey .  David will confirm with the Coed coaches because they were not in attendance.  Each coach will need to have a sign in form for players and evaluation forms.  Numbers will be provided for Coaches to use.  All Urbana Coaches need to let their players know the Tryout dates and times!

U8/U10 Agility/Speed Training with Xtreme Acceleration (David Ward)  David was looking into the possibility of offering Agility/Speed training for our U8 & U10 players in the Fall.  The training would be provided by professional trainers with Xtreme Acceleration.  The cost was considered pricey and may not be repetitive enough to be effective.  Coaches would need to reinforce training.  David is looking into the possibility of professional soccer training instead due to the cost. 

Additional At-Large BOD Members (Stephanie Downs)  We would like to add two additional At-Large Board members by board election for two involved members of the association.  This requires a change in the bylaws.  Stephanie will write up the suggested bylaw language and bring it to the next meeting.

BOD Member to FCYSL Meeting May 25th (David Ward) Harry Hurst was volunteered to attend the FCYSL meeting for Urbana Soccer Association.

College Scholarship:  (Al Selwyn) Scholarship applications have been received and will be voted on by the Current (and newly elected) board members.  The winning applicant will be awarded the $500 scholarship at the Salute to Seniors event on June 3rd at Urbana High School.

Coaches Game/Picnic:  (Stephanie Downs) The Coaches picnic has been cancelled due to games being scheduled on Sunday, May 22nd. 

Participation Awards (Brenda Rayno)   Not Present. Some participation awards are in and will be placed in the shed.  The other awards should be in before June 4th.

Pictures (Charlotte Jordan)  Team pictures are being processed.  Charlotte will let the coaches know when pictures are ready for pick-up.  Coaches plaques will hopefully be in by the end of the season.

End-of-Season Party (David Ward)  The end of season party has been scheduled for June 10th at the Urbana Fire Co. Fairgrounds.  The organizers are looking for volunteers from each team to help organize the event.  Coaches are also welcome to help out!

End-of-Season Tournament (David Ward)  BASC Tournament, June 18-19 (U10 & up), MAYAA, (U8) June 11-12  McSoccerfest, June 25-26 (4v4, U6-Adults).  Urbana will have 6 U8 teams in the MAYAA tournament.  All Urbana teams are encouraged to attend one End-of-Season Tournament.  The Association will reimburse BASC & MAYAA tournament fees.

U8 PentaLeague with FC Frederick  (David Ward)  David had a meeting with FC Frederick to discuss having a Fall 2005 U8 league.  There will be 6 5v5 game days at T.J. Middle school and two Dutch 4v4 Play days at Urbana next fall.  FC Frederick, Urbana and possibly Middletown will participate.  LUYAA is a possibility for the Spring season.  Urbana teams will have the same number of players on their roster and will just be split into two teams for game days.  Portable goals are needed.

Summer Pick Up Games (David Ward)  There will be weekly Summer pick up games at the Upper Field starting Monday, June 13th from 7:00 p.m. to dark.  The games will be for high school age players and adults from Urbana Soccer Association.

Camps: (David Ward) The South County Soccer Camp will be at Urbana High School, June 20-24.  The UKElite Camp will be July 11-15 at Urbana Park.

Shooting Wall (David Ward) The shooting wall is almost finished.  Seeding has been done and David will start painting during Memorial Day Weekend.  It should be ready in July!

U8 Play Day with FC Frederick – June 4  (David Ward)  The U8 teams from Urbana will be joining the U8 group from FC Frederick for a Play Day on Saturday, June 4th from 9:30-10:30 a.m. at T.J. Middle School.

New Uniform Coordinator  & Sponsorship coordinator Needed (David Ward)  A new Uniform coordinator is needed for the Fall.  We are looking for an individual that wants to be involved in our organization.  This is one of our biggest expenses for the Association. The sponsorship coordinator has activity in August and March and covers our extra expenses.  This allows us to not require fund raisers!  Please contact David ward if interested.
