Minutes for the Urbana Soccer Association Meeting

 

January 16, 2007 at the Urbana Public Library

(Frederick County Public Libraries does not promote or endorse the views of the program sponsors or presenters).

 

Attendance: David Ward, Harry Hurst, Karen Selwyn, Al Selwyn, Darren Heavner, Tony Reed, Herbert Avila, Robin Humphreys, Clif Carey

 

The meeting was called to order at 7:18p

 

1)     The minutes from the November 2006 meeting were approved without change.

2)     Registrar’s Report (Karen Selwyn): 

a)     As of 1/16/2007 there are 253 registered players

b)     The online registration process is going well and no phone calls have been received requesting help

c)      Registration Fliers

i)        were sent to the local schools,

ii)      ads have been sent to the Gazette, Frederick News Post

iii)    emails have been sent to all participants from the Fall 2006 season

d)     There was a discussion about increasing the late registration fee from $10 to $25.  It was decided that in keeping with other associations, and to make the penalty more significant (so as to encourage on-time registration) that the Association would increase the late registration fee from $10 to $25 beginning the fall of 2007 (unanimous).

3)     Treasurer’s Report (Herbert Avila):

a)     Money from the registrations have been coming in steadily, current balance is $9695.95.

b)     The Field Fund is low due to fall expenses and is $301.08.

c)      Work for the not-for-profit status of the Association is ongoing with key people to help the process sending us appropriate forms.  Records from the last 5 or so years will be needed to complete the application.

4)     VP’s Report (Harry Hurst):

a)     Field use forms have been submitted to the schools

b)     There is positive coordination on field use with the LUYAA coordinator

c)      Pitch use for the new surfaces at Windsor Knolls MS will be kept gentle in the spring to preserve the new grass at the pitch.

5)     Secretary report (Clif Carey): new secretary was welcomed to the board.

6)     Coaches Education (David Ward):

a)     Need a new volunteer to coordinate Coaches Education.  This is an important job that has positive returns. 

b)     Several suggestions for improving our current effort to implement coaches education were discussed. 

c)      The next local opportunities are: E-level held March 3 & 4 at the SoccerPlex.  See http://www.msysa.org/coaches/index_E.html for details.  The Association will pay course registration fees.

d)     Newer coaches are encouraged to attend the practice and/or a game run by more experienced coaches to learn some tips.

e)     David Ward is working on the U12 curriculum.

 

7)     Equipment (Herbert Avila):

a)     Has given a list of equipment needed to purchase to David

b)     Herbert has a lot of equipment stored from last fall and is available for the spring

c)      Coaches will be contacted soon to see what equipment they may need

d)     Discussion about the J-hooks (needed to secure the goals) that go missing frequently lead to the idea that we should weld a fastener to the J-hook so that the J-hook will be attached to the goal.  Al Selwyn will weld some together to see if this can work.

8)     Merchandise (Harry Hurst):

a)     There are pictures of available merchandise on line at the USA website http://www.urbanasoccer.org/gpage18.html

b)     The Association is donating some merchandise items to the Urbana Elementary School silent auction.

c)      Merchandise ordered will be delivered to the players by the coaches in March (subject to backorders) during practice.

9)     Field maintenance (David Ward/Rod McNiff):

a)     Goal moving day is Feb 24

b)     Line painting day is March 17

c)      Play day is March 25

d)     Because of field maintenance at Urbana Park this summer our summer soccer pick-up games will be held at Urbana ES.

10) Indoor Soccer (David Ward):

a)     U14 Coed (D1) coached by Joanne Bodine did well in the first season at the Frederick SoccerPlex

b)     U14 Coed (D1) and U10 Coed are starting the second season at the SoccerPlex this week (good luck!)

11) Budget (David Ward):  The Spring 2007 budget was presented and discussed. The total is $58,891 and is very tight for the spring.  Depending on the final cost of Urbana Park field renovations, some monies from Fall 2007 will be forwarded to the Spring 2007 budget. The budget was passed without dissent.

12) Coaches for the spring (David Ward):  Depending on the total number of players that sign up is looks like we will need some new U6, U8 and U12 coaches.  We have sufficient U10, U14 and U19 coaches

13) Volunteers (David Ward): A huge thank you goes out to the many volunteers who keep the Association great.  The list of current Officers and Volunteer is listed at the USA website http://www.urbanasoccer.org/gpage.html5.html.

14) USA Scholarship (Karen Selwyn): Scholarship forms will be delivered to the High Schools in February

15) New Business – the board decided to continue meeting that the Urbana Public Library for the next few meetings
