Urbana Soccer Association Monthly Meeting

Tuesday, April 18, 2006

Ijamsville Methodist Church

 

 

Attendees:  David Ward, Herbert Avila, Stephanie Downs, Al Selwyn, Karen Selwyn, Harry Hurst, Brenda Rayno, Mark Keating

  

USA President David Ward called the meeting to order at 7:35pm. 

 

Minutes:  The February meeting minutes (there were no meeting minutes for the March Coaches meeting) were approved by Harry Hurst and seconded by Karen Selwyn.

 

Registrar’s Report:  (Karen Selwyn) Karen will be stepping down as Registrar and would like to start training her replacement as soon as possible.  She will send out an email to look for volunteers.  Of course, no one can take her place! Our League Organizer software will require an update.  Fall 2006 Registration will be sent out in June.  There will be two walk-in Registrations in June at the Urbana Fire Hall.  The dates will most likely be 6/17 & 6/24.  There will also be registrations accepted during the Division 1 Tryouts.

 

Treasurers Report:  (Herbert Avila) There is $21,486.77 in the Operating Budget.  Expenses still to be paid are equipment, Field Fund, Registration Fees, Tournament Fees and Participation Awards.  The Field Fund has $10,015.75 before the transfer from the Operating Budget.

 

Vice President’s Report: (Harry Hurst) Waiver forms were sent to Parks and Rec.  Parks and Rec. also sent out a letter stating that our shed was in bad shape and needed replacing but this ended up being the softball chests on the upper field.

 

Secretary’s Report: (Stephanie Downs) Nothing to report.

 

Coaches Education:  (David Ward)

There are no classes currently scheduled for the F or E License.  Information on Coaches Education can be found at:  http://msysa.org/.   There will be a Dutch International Week in Hagerstown from July 2-7.  This is an advanced training week long course and the cost is $450.00.

 

Equipment: (Herbert Avila) All equipment has been ordered and received except for feet needed for Kwik goals and wood preservative (for rebounding walls).

 

Merchandise - (Harry Hurst) Additional Urbana Soccer Sweatshirts have been ordered and received.  There has been approximately $2,700 of inventory sold and about $4,000 of merchandise in the current inventory.

 

Field Maintenance:  (Rod McNiff/David Ward) Coaches are reminded to line the fields per the schedule sent out by Rod.  David will speak to the principal and PE department at WKMS to obtain re-approval to re-surface two of the fields during the Fall 2006 season.  The Field fund will be used to finance this effort.

 

U10 Fall 2006 Kick-Off Week (David Ward)   Urbana Soccer will host professionally-staffed training for all the U10 players during the first week of the Fall 2006 Season.  Training sessions for U10s will be every day from 5:00-8:00 during that first week (July 31 – August 4).  Training sessions will be run by the Brian Wall Soccer School (Brian is the Men’s Soccer Coach at Hood College).  Registration forms will be sent out in July to all registered U10 players.  The cost will be $55 per family.

          

Division 1 Tryouts (David Ward) Division 1 tryouts will be held for the U12 and U14 players only.  This allows the U10 players to continue to play with their friends and keep teams together (as much as possible.  The dates will be: Wednesday, May 31st for U12 (Girls Upper Field, Coed Lower Field), Thursday, June 1st for U14 (Girls Upper Field, Coed Lower Field), Friday, June 2nd for Rain date, Monday, June 5th for U14 (Girls Lower Field, Coed Upper Field), Tuesday, June 6th for U12 (Girls Lower Field, Coed Upper Field) and Friday, June 9th for Rain date.  The tryouts will be held from 6:00-8:00p.m.

 

Registration Fees (David Ward Registration fees will be the same as they were in the Fall 2005 Season.

 

UES Silent Auction (David Ward) Urbana Soccer Association will donate one Fall 2006 soccer registration to the Urbana Elementary Silent Auction.  Green Valley Elementary was also discussed and a soccer registration will also be donated if requested.

 

Coaches Game and Picnic (Stephanie Downs)  The Urbana Soccer Association Coaches Game and Picnic will be held during a Sunday in May.  David will review the schedules to pick the most appropriate day.  Stephanie will send out an email to the Coaches and Volunteers and will organize the event.

 

Nominations for May Elections  (David Ward)  Nominations will be taken for the following board positions: President (David will put his name in), Secretary (Stephanie is stepping down), one At-Large.  Nominations can be sent to David at david.ward@jdsu.com.  Nominees must indicate their willingness to accept the position, if elected.

 

Uniforms  (David Ward)  Jerseys will be changing for Fall 2006 for most teams.  There will be a transition period to change out all the uniforms to the new jerseys.

 

College Scholarships  (Al Selwyn)  The Urbana Soccer Association Scholarship Application is available at the front office at Urbana High School and are also located on the Urbana Soccer website.  The $500 scholarship will be awarded to an Urbana High School graduating student who is a past or present member of the Urbana Soccer Association.  Applicants must be planning to attend a two (2) year or four (4) year college, technical, or vocational school in the Fall.  The deadline for completing the application is May 15th. 

 

Participation Awards  (Brenda Rayno)  Participation awards possibilities for U10 players and up have been reviewed and pricing is being worked out.  U6 and U8 players will receive trophies.   Trophy selections were viewed and approved.

 

Pictures (Charlotte Jordan) Not Present.  Most of team pictures have been taken.  Team pictures that have not been taken are being rescheduled.

 

Tournaments (David Ward) 

MSC 4v4 –May 29th    4v4 Tournament in Middletown on Memorial Day.

MAYAA U8 – June 10th    All Urbana U8 teams are encouraged to participate.

BASC U10 and above – June 17th & 18th   Frederick County Teams, Father’s Day Weekend in Boonsboro.

McDonald’s SoccerFest 4v4 – July 8th & 9th  4v4 Tournament that is taking place in Columbia, MD. 

 

The Association will be pay the entry fees for the MAYAA U8 and the BASC tournaments.

 

Ice Cream for PentaLeague U8 Day at Urbana Park (David Ward)  David would like to try to have an Ice Cream Truck at the PentaLeague U8 Day on June 3rd at the Park.  The players would receive a voucher for free ice cream.  David will look into having an Ice Cream Truck available.

 

Summer Pick Up Games (David Ward)  David would also like to have ice cream available for the children that attend the Adult pick-up games over the summer.  There will be soccer game set up for the children as well as the adults.  The Adult pick-up games will be held on Monday’s.  The High School pick-up games will be held on Tuesday’s and David would like to have pizza delivered for after the game for the high school players.   Both games will start at 7:00 p.m.

 

Summer Soccer Camps (David Ward)  The South County Soccer Camp at Urbana High School will be held on June 19th – 23rd.  The UK Elite Soccer Camp will be held at Urbana Elementary on July 10th – 14th.

 

 

New Business:  (All)

Board Members are encouraged to be line police.  Parents are supposed to stay behind the lines (if painted) or on the hill at Urbana Park per new county requirements.  Coaches and players are to stay in the coaches boxes except to substitute. 

 

Mark Keating will donate a white board for tournaments.  He will put it in the shed.

 

 

 The meeting was adjourned at 9:21 p.m.
