Urbana Soccer Association Monthly Meeting

Tuesday, November 15, 2005

Ijamsville Methodist Church

Attendees: Harry Hurst, David Ward, Herbert Avila, Stephanie Downs, Karen Selwyn, Al Selwyn, Mark Keating, Andy Keen

USA President David Ward called the meeting to order at 7:35 pm.

Minutes:  The October meeting minutes were approved by Al Selwyn and seconded by Andy Keen.

Registrar’s Report:  (Karen Selwyn)  Spring Registration will be sent out to current Urbana Soccer Association families during the last week of December.  There will be two walk-in registrations held in January 14th and 28th at the Urbana Fire hall.   Karen will update the Registration forms on the Urbana website.  The current registration software has an upgrade package.  The majority of the upgrades offered are not currently needed so Karen will work with the current version.  Urbana will probably need to start thinking of going to a complete on-line registration for the association.

Treasurers Report:  (Herbert Avila) The Field Fund has $10,015.75 and the Operating Budget has $13,276.56 in the treasury.  The only large expenses that still need to be paid are field maintenance and refrigerator magnets.  A check needs to be sent to Urbana Fire and Rescue.

Vice President’s Report: (Harry Hurst) Harry will attend the Parks and Rec meeting in December for 2006 Field scheduling.  Field use forms for Urbana Elementary and WKMS need to be sent in December with Urbana’s insurance certificate attached.

Secretary’s Report: (Stephanie Downs) Nothing to report.

Coaches Education:  (David Ward) There will be an E License course given in Middletown on December 3rd and 4th.  Contact David Afzali at (301) 371-4966 if interested.  There is also an E License course at Covenant Park in Ellicott City on December 10th  & 11th.  There are a few Urbana Coaches that are interested in attending either the Middletown or the Ellicott City courses.  There will be a D License course given in St. Michaels on December 27th -30th.  Information on Coaches Education can be found at:   http://msysa.org/.

Equipment Report:  (Herbert Avila)  Herbert purchased Kwik goals this season for a total of $5,249.  There are sets for Urbana Elementary and the Upper and Lower fields at Urbana Park.  There will also be additional sets purchased for WKMS.  Other fall equipment purchases totaled $4,763.49 and included balls, nets, paint, pinnies and first aid supplies.  There will be an additional 300 blue cones  purchased for the Spring season for Age Group Training.

Field Maintenance:  (Rod McNiff/David Ward)  Scott Schweitzer (Fitz Landscaping) cut the upper and lower fields and spread fertilizer.  The fields were then slit seeded.  Parks and Rec aerated both fields.  Now, we just need to pray for warm weather!  A special Thank You goes to the following Field Maintenance Volunteers: David Ward, Al Selwyn, Clif Carey, Gary Francis, Sean Lee, Mark Williams and Greg Gordon.   There will be no additional field maintenance completed this season until field lining in March.  Al has graciously volunteered to fix the 4v4 goals over the winter break.

Tournaments (David Ward)

FCYSL Results:

U10: Mark Keating’s U10 Coed-1st, Stephanie Downs’ U10 Girls-2nd.  U12: Harry Hurst’s U12 Girls-1st, Andy Keen’s U12 Coed-2nd.

MAYAA U8: Herbert Avila’s team made it to the semi-finals.

Columbia Rec: U10-Mark Keating’s U10 Coed-tied for 1st place and Al Selwyn’s U14 Girls took 1st.

Merchandise - (Harry Hurst) The sleeve tie vendor that was to fill our fall order may finally be providing the sleeve ties!  Harry is hoping to confirm our order in the next two weeks.  Harry has looked into adding sweatshirts as merchandise for Urbana soccer.  We will be offering hooded sweatshirts with the words Urbana Soccer (and a soccer ball) on the front.  This will be added to the merchandise form that will go out with registration.

Participation Awards (Brenda Rayno)   All the participation awards were picked up from the shed,

Pictures (Charlotte Jordan)   Charlotte delivered many of the coaches plaques last weekend.  The remainder of the plaques are in the shed.

UHS soccer playoffs (David Ward)  The Urbana boys lost to Paint Branch in the first round of playoffs.  The girl’s team went to the Regional final but lost to Tuscarora (1-0).

Refrigerator Magnets (Stephanie Downs) Magnets have been ordered and should be received in the next three weeks.  The magnets will be distributed with Spring registration packets.

PentaLeague Comments  (U8)  A good season for the kids and the parents seems satisfied with the PentaLeague set-up.  The only other comment was that bigger fields are needed.

FCYSL Comments  (U10+)  FCYSL standings were not always updated.  Some referee issues as well as good referee experiences were also reported.  Lack of Division 1 teams was discussed and potential solutions were BBSL and MSI leagues or moving to a high age bracket.

Post Mortem Meetings  (David Ward)  The U8 Coaches meeting will be held Wednesday, November 16th.  The U10 Coaches meeting will be held on Tuesday, November 29th.  The U6 Coaches meeting still needs to be scheduled.  David and Herbert will also meet with FC Frederick to have a Post Mortem Pentaleague meeting.

Indoor Soccer  (All)  Al Selwyn (U14 Girls), Harry Hurst (U12 Girls), Mark Keating (U10 Coed) will be playing indoor soccer during the second session at the Soccerplex in Germantown.  Andy Keen (U12 Coed) is currently playing at the Sportsplex in Frederick.

Bylaw Vote-License Requirements for D1 Coaches  (David Ward)  The Bylaw change sent out by Harry was discussed.  It was voted to approve the bylaw with the following changes:

9.03 Division 1 Head Coaches: To coach a Division 1 team, a coach must have obtained the following coaching license:  U10 Division 1 team- USSF ‘E’ license, U12 Division 1 team- USSF ‘E’ license, U14 Division 1 team- USSF ‘D’ license.  A one season grace period will be allowed to provide a coach time to obtain the necessary license.  Once this grace period has expired, a coach without the proper license will require a majority vote of the Board of Directors to continue as a Division 1 coach.

New Business:  (All)

Practices in the spring will be scheduled as follows:

U8, U10: Urbana Elementary and Urbana Park

U12, U14: WKMS

U19: Urbana Park

Other field possibilities discussed were Friends Meeting School (not playable), Centerville Elementary (Lacrosse) and Urbana Middle (not ready).

The meeting was adjourned at 9:06 p.m.

 No December Meeting

 Next meeting will be January 17,2006 , 7:30 p.m.
