Urbana Soccer Association Monthly Meeting

Tuesday, July 19, 2005

Attendees:  Mike Sparks, Al Selwyn, Harry Hurst, David Ward, Herbert Avila, Stephanie Downs, Andy Keen, Mark Keating, Nicole Robertson, Tony Reed, Clif Carey, Darren Heavner, Don Barry, Dave Cromartie

  

USA President David Ward called the meeting to order at 7:35 pm. 

 

Minutes:  The June meeting minutes were approved by Andy Keen and seconded by Harry Hurst.

 

Registrar’s Report:  (Karen Selwyn)   Absent.  There are approximately 400 players registered for the fall.  Coaches Packets were handed out (by Al) to the coaches at the meeting.

 

Treasurers Report:  (Herbert Avila) The Field Fund has $8,035.35 and the Operating Budget has $36,696.00 in the treasury.  The Operating Budget still includes the End of Season Party funds and the only Fall expenses that have been paid are uniforms.

 

Vice President’s Report: (Harry Hurst) Andy Keen provided all the necessary field forms to Harry.  The Urbana Park schedule is due August 1st.  Andy will forward the schedule spreadsheet to Harry.  WKMS will need the new Urbana Insurance form by Sept. 1st.  The Urbana Park entrance has now been moved and there is a large area that could accommodate an information board for the Park (Registration or Tryout dates, times, etc…).  David believes that Parks and Rec have very stringent guidelines for signage and may not allow it.  Harry will contact Parks and Rec.

 

Secretary’s Report: (Stephanie Downs) An Urbana Coaches/Volunteer Happy Hour will be held Friday, July 22nd at 6:00 p.m.  Please email Stephanie if you can attend.

 

Additional At-Large BOD Members (David/Stephanie/Harry/Herbert)  The following nominations were received for the two additional At-Large board members: Jeff Smith, Howie Perlroth, Tony Reed, Andy Keen, Al Selwyn and Clif Carey.  Al Selwyn and Tony Reed were voted in as the two additional BOD members.

 

 

Coaches Education:  (David Ward) There will be an E License course given at the Heights School in Potomac on August 20-21.  The D License course given in Sykesville on July 16-17 & July 23-24 is full.  Information on Coaches Education can be found at:   http://msysa.org/.  There is also a National Youth License course being given in Dumfries, Virginia on August 19-21. 

 

U10 Professional Coaching:  (David Ward)

Brett Haight of FC Frederick will provide four practice sessions for all Urbana U10 players starting on Sundays in September.  The sessions will be held Sunday Evenings (9/11, 9/18, 9/25 & 10/2).  U10 coaches will need to attend to learn the curriculum (for future coaching sessions) and help out at the practices.  All Urbana coaches are welcome to attend.  We will look to expand this to other age groups if it is successful.

 

Budget Request:  (David Ward) Due to the added expense of maintenance to the WKMS field, David has requested that two Kwik goals be removed from Fall equipment needs (the goals will not be used due to the field maintenance that is required).  The funds for the goals ($2,400) will be moved for the field maintenance expense. This was approved.  The total cost to renovate the two WKMS fields will be $11,938.89.

 

Field Maintenance:  (Rod McNiff/David Ward)  School approval is required to close the WKMS fields for maintenance.  David has contacted the school for approval and is still trying to get in contact with the PE staff.  The field in the best shape will be used for practices and will not be closed.  Herbert suggested the possibility of requesting a grant from the Community Foundation of Frederick County for the renovation of the additional WKMS field or new goals for the Spring.  This will be discussed again at the next meeting.  David will seed the goal boxes on the Upper field over Labor Day weekend.

 

Field Lining:  (Rod McNiff/David Ward)  The initial field lining for the Upper and Lower fields will be held on either August 13th or 14th.  The Upper field will be turned (perhaps diagonally) and the lower field will also be moved.  Rod or David will send out an email confirming the date and time.

 

Equipment:  (Herbert Avila).  Herbert has ordered all fall equipment except for nets.  The nets at upper field, Urbana ES and Oakdale Middle will need to be inspected before ordering new ones.  Coaches need to provide equipment and first aid kit requests to Herbert.  First Aid kits that need entire restocking should be left in the shed.  Please send Herbert an email if first aid kits are left in the shed.  Herbert's email is cruziman@yahoo.com.  New Coaches and Coaches with equipment requests should have their equipment by the end of July.

 

Coaches Jackets:  (David Ward) Coaches Jackets will be ordered for Darren Heavner & Stephanie Downs.

 

 Merchandise (Harry Hurst)   Approximately 50+ Urbana Jackets were ordered and are being screen printed.  The prices will be $31.00 for youth sizes and $41.00 for Adult.   An updated order form is on the web site.  Magnets, sleeve ties, hair scrunchies and wrist bands will also be available.  Harry will have a tent at the Fall Play Days weekend to purchase merchandise and to pick up merchandise previously ordered.    

 

Sponsors (David Ward)  There are 24 teams and 12 confirmed sponsors.  The cost to become a sponsor is $500 per soccer year (Fall & Spring).  The sponsor’s name and logo is added to team jerseys and they receive a sponsor plaque each season.  If you are interested in being a sponsor or know someone who would be, please contact David Ward.

 

McSoccerfest 2005 (Harry Hurst) The McSoccerfest 4v4 was held in Columbia during the weekend of June 25th.  The soccer complex was new and the fields were artificial turf.  The tournament was very well organized and over 200 teams participated in the tournament.  Harry Hurst and Steve McKinley both brought teams.  Harry’s U12 girl’s team played in the Travel/Club division and took 1st place.

 

U8 PentaLeague with FC Frederick  (David Ward)  The PentaLeague with FC Frederick and Urbana begins this Fall.  The games will be 5v5 (4 players and a goalie).  The fields will be 20x35 and there will be a goal box of approximately 4 yards.  There will be kick-ins instead of throw-ins and no referees.  There are 7 Urbana U8 teams and approximately 5 FC Frederick teams.  Urbana Coaches will split their teams in ½ and they will play two different teams in two ½ games every week.  Coaches will be there to substitute and cheer.  Rosters will be flexible to accommodate missing players.  The majority of the games will be held at TJMS starting September 10th with two play days during the season at Urbana.  All the players will have more opportunities play and touch the ball.

 

Summer Pick Up Games (David Ward)  There will be weekly Summer pick up games at the Upper Field on Mondays from 7:00 p.m. to dark.  The games will be for high school age players and adults from Urbana Soccer Association.  The pickup games will continue until school starts in August.

 

Camps: (David Ward) There were approximately 300 players at the South County camp and 45 players at the UK Elite camp.

   

Shooting Wall (David Ward) The shooting wall is finished after 6 years in the making!  Thanks to David for his painting job.  Please use the wall for practice and games (like slam)!

 

 

Fall 2005 Play Days (David Ward)  We will have a  Play Day on Saturday, August 27th for all Urbana teams.  We will start games at 8:00 a.m. and the games will be 1/2 their regular time. Each team will play at least three of these games..  There may be some mixed age groups and coed vs. girls games.  U8’s will play Pentaleague style and U10’s and older will play a regular size games with refs.  We will also have a Dutch 4v4 for all Urbana players on Sunday, August 28th.  U8’s will start at 12:30, U10’s at 2:00, U12’s at 3:30, U14’s at 5:00 and Adults/Open at 6:30.

 

New Business:  (All)

 Al suggested the possibility of Agility/Running training.  We will need to see how well the U10 training works before expanding to additional training.  Cost was an issue previously.  High school track coaches or parents with running/sprinting experience was also discussed as a possibility.

 

Coaches need to let David know if there are any weekends in the fall that they know will be a conflict for their team to attend games as soon as possible.

 

The mandatory coaches meeting in the Coaches packet will need to be changed.  David will send out an updated email.

 

The meeting was adjourned at 9:15 p.m.
