Urbana Soccer Association Monthly Meeting

Tuesday, June 21, 2005

Ijamsville Methodist Church

 

 

 

Attendees:  Charlotte Jordan, Al Selwyn, Karen Selwyn, David Ward, Herbert Avila, Stephanie Downs, Sharon VanLowe-DeLacey

  

USA President David Ward called the meeting to order at 7:44 pm. 

 

Minutes:  The May meeting minutes were approved by Karen Selwyn with the correction of Todd Fahlfeder as an additional attendee and seconded by Charlotte Jordan.

 

Registrar’s Report:  (Karen Selwyn)   Fall Registration closes on July 1st.  The last Walk-in Registration will be held on June 25th at the Urbana Pavilion from 9:00 a.m.- 12:00 p.m.  There have been 190 registrations sent in so far.

 

Treasurers Report:  (Herbert Avila) Accounts have been transferred to Herbert’s name and Herbert has received all files and checks.  The Field Fund has approximately $8,000.00 and the Operating Budget has $12,000.00 in the treasury.  The Operating Budget still includes the End of Season Party funds.

 

Vice President’s Report: (Harry Hurst) Absent 

 

Secretary’s Report: (Stephanie Downs) Stephanie will send out emails to Coaches and Volunteers determine attendance at a Coaches Happy Hour in July.  The Coaches Picnic will be held Labor Day weekend at Urbana Park.

 

Coaches Education:  (David Ward) There will also be a D License course given in Sykesville on July 16-17 & July 23-24.  There will also be an E License course given at the MD Soccerplex on August 20-21.  Information can be found at:   http://msysa.org/.  There is also a National Youth License course being given in Virginia on August 19-21.  Brett Haight of FC Frederick has been contacted to provide four practice sessions for all Urbana U10 players starting on Sundays in September.  The sessions will be held Sunday Evenings (9/11, 9/18, 9/25 & 10/2) and will run approximately 5-7 p.m.  The expense to the Association will be $5 per player per session.  This expense was approved.  Brett will send out the curriculum for the sessions to David.  U10 coaches will need to attend to learn the curriculum (for future coaching sessions) and help out at the practices.

 

Field Maintenance:  (Rod McNiff) Not Present.  End of season maintenance needed:  Move portable goals.  Lock goals to fence on Upper field.  This is scheduled to be completed on June 23rd  at 6:30 p.m.  The center circle on the upper field has been seeded and surrounded with caution tape (please stay off).  Due to an agreement with LUYAA, Urbana Soccer Association will now have exclusive use of WKMS.  LUYAA now has both Oakdale fields and we will still need to share the field with LUYAA Lacrosse in the Spring.  Professional field maintenance is required to bring the fields back to a playable status.  School approval is required to close fields for maintenance.  David will contact the school for approval.  Urbana Soccer is waiting for a proposal from a contractor to confirm the price of the needed work.  Fall seeding is also needed on the lower field of Urbana.  We may try to fit both a U12 and a U10 field on the lower field to allow more Saturday games.  The field at the Friends Meeting School will not be useable for at least two soccer seasons. 

 

Equipment:  (Herbert Avila).  Coaches need to provide equipment and first aid kit requests to Herbert.  First Aid kits that need entire restocking should be left in the shed.  Please send Herbert an email if first aid kits are left in the shed.  Herbert's email is cruziman@yahoo.com.  Coaches that are not returning in the fall need to leave their equipment and first aid kits in the shed or make arrangements with Herbert for pick up.  Herbert provided the Fall equipment budget to David.   Herbert will remove the current equipment in the shed to take inventory over the summer.

 

Merchandise (Harry Hurst)   Absent.  Urbana will sell sweat bands, sleeve ties, jackets, magnets, scrunchies and headbands this fall. 

 

Fall 2005 Budget Approval (David Ward)  The Fall 2005 Budget was presented and approved as is.  The largest expenses were Uniforms, Kwik goals, Merchandise and Field Maintenance (WKMS).     

 

Spring 2005 Post-Mortem (All) Coaches talked about additional Coaches training, lost games with no scoring opportunities, lack of practice commitment and referee problems.  Most Coaches saw improvement and progress with their teams.  The U8 program was felt to be effective and the Spring season was considered a successful start with this curriculum. 

 

Fall Div 1 Tryouts (David Ward)   Division 1 Tryouts for the Fall 2005 Soccer Season were held for the U10-U14 age groups.  Attendance was sparse in some age groups but extreme in others (40 players tried out for the U14 Girls team)!  Having one tryout during the week and one on the weekend helped with attendance.  Division 1 Coaches need to provide ranking lists to Karen and need to wait for players to register for the Fall season to determine team rosters.

 

Additional At-Large BOD Members (Stephanie Downs)  The language for changing the by-laws to allow two additional At-Large Board members was approved by a vote of 6-1.  Nominations will need to be made for the two At-Large positions and current Board members will vote on received nominations at the next meeting. 

 

USA College Scholarship:  (Al Selwyn) Ben Adams received a $500 scholarship for his application and essay.  Congratulations, Ben!

 

End-of-Season Tournament (David Ward)

 MAYAA U8 Tournament: David Ward’s Silver Tigers were the Division 1 Champions.  Boonsboro Tournament: Dave Cromartie and Robin Humphrey’s Herricanes were 1st in the U10 Girls Recreation Division.  Brian Down’s Blue Tigers were the U12 Recreational Girls Champions and Paul Young’s Fire were 1st in the U14 Girls Select Division.

 

U8 PentaLeague with FC Frederick  (David Ward)  There is one final meeting on Tuesday, June 28th with FC Frederick to confirm final details for the fall.  David Ward, Herbert Avila and Stephanie Downs will attend.

 

Summer Pick Up Games (David Ward)  There will be weekly Summer pick up games at the Upper Field on Mondays from 7:00 p.m. to dark.  The games will be for high school age players and adults from Urbana Soccer Association.

 

Camps: (David Ward) The South County Soccer Camp is taking place this week at Urbana High School.  The UKElite Camp will be July 11-15 at Urbana Park.

   

Shooting Wall (David Ward) The shooting wall is almost finished.  David has added a 2nd coat of paint and still needs to paint the numbers.  The caution tape is down but please do not use until the wall is completed. 

 

New Uniform Coordinator  & Sponsorship coordinator Needed (David Ward)  Kim Goldstein will be the new Uniform Coordinator for Urbana (Thanks, Kim!).  A sponsorship coordinator is still needed.  This allows us to not require fund raisers!  Please contact David Ward if interested.

 

Fall 2005 Play Days (David Ward)  We will have a Dutch 4v4 on Saturday, August 27th for all Urbana players.  We will also have a Play Day for all Urbana teams on Sunday, August 28th.  Games will start at 8:00a.m. Sunday morning. 

 

New Business:  (All)

 Charlotte wants to try to schedule Fall pictures with Bill Adkins as soon as possible.  Uniforms for U8 and older players should be in by August 27th.  Charlotte will try to schedule pictures for the Week of August 29th and September 6th.  The U6 players will be scheduled for Saturday, Sept. 17th.

 

The possibility of requesting a grant from the Community Foundation of Frederick County was discussed.  Spring needs will be explored and this will be discussed again at the next meeting. 

The meeting was adjourned at 9:23 p.m.  

 Next meeting will be July 19th, 7:30 p.m.
