Urbana Soccer Association Monthly Meeting

Tuesday January 25, 2005

Ijamsville Methodist Church

Attendees:  Al Selwyn, Karen Selwyn, Harry Hurst, David Ward, Stephanie Downs, Brian Downs, Dave Cromartie, Mark Keating, Matt Fletcher

USA President Al Selwyn called the meeting to order at 7:35 pm.

Minutes:  The November meeting minutes were approved by Karen Selwyn and seconded by Brian Downs.

Registrar’s Report:  (Karen Selwyn) Registration has been very light so far.  We have only received about 200 registrations.   Feb. 1st will be the close of registration.  Any registrations received after this date will incur a $10 late fee and will be placed on a waiting list unless space is available.  Register Now!  Dave Cromartie volunteered to make a bigger sign for next season’s registration.  Newspaper ads and additional signs were discussed as ways to encourage registration.

Treasurers Report:  (David Ward) The Field Fund has $5,745.45 and the Operating Budget has $5,037.79 in the treasury.  Registration Fees will be added.  Approximately 19 registrations had over payments and will have to be mailed a refund.

Vice President’s Report: (Andy Keen) Absent.  All fields were requested and we have the same nights and fields as last season.  Al will confirm Baseball and Softball times for Urbana Park and Elementary.

Secretary’s Report: (Stephanie Downs) Nothing to report.

UK Elite:  (Matt Fletcher)  UK Elite will have their 3rd annual soccer camp on July 11-15 at Urbana Park.  There will be a morning camp from 9:00-12:00 for ages 4-9 and an evening camp from 5:30-8:30 for ages 7-14.  The cost is $125 per player.   Team Training and Resident camps are also available.  Coaches will receive flyers in their coaches packets at the beginning of the Spring season.  UK Elite will offer a free Coaches clinic to Urbana coaches.  The clinic will be about 2 hours and Al will try to schedule this during March.

College Scholarships:  (Al Selwyn) The idea of increasing the Urbana College scholarship to two individual scholarships (instead of one) for one male and one female player was voted down due to low registration and minimal applications in previous years.  This will be looked into again if additional funds become available.

Spring Budget:  (Al Selwyn) Additional portable goals and agility equipment will be purchased this spring.  An additional expense of $1500 for an Association picnic was penciled in for the end of the season.  An Events Committee will be needed to coordinate this.  The Spring Budget was voted in with corrections discussed.

Coaches Education:  (Al Selwyn) There is an E License course being offered in Germantown on March 12th and 13th.  The Association will reimburse this expense.  All coaches are encouraged to attend.  The UK Elite coaching clinic will be scheduled in March and David will ask Graham Ramsey to come again in either March or April.

My Team One Call (David Ward) David confirmed pricing and it was determined to be too expensive.

Field Maintenance:  (Rod McNiff) Absent.  Rod will send out an e-mail for putting up goals and the initial field lining.  Coaches will be sent e-mail reminders to complete field lining during the season.

Shooting Wall (David Ward) The hole has been dug for the Shooting wall and concrete forms are in.  The wall will be 7x21 feet and will be accessible from both sides.  The contractors are waiting for the weather to break to finish the work but we are hoping to have the wall complete by March 1st.

Merchandise (Harry Hurst) Sponsor Bags and Hats need to be purchased.  Order forms were sent out with Spring Registration and merchandise will be available during the season.

Sponsors (Harry Hurst) There are two sponsors that need to send in full year sponsor fees and three sponsors that need to send in half year fees.

Juggling Patches (David Ward) The juggling patches are in and will be available to coaches.  Players will need to execute juggling skills to their coaches to validate number of juggles.  There are 10, 25, 50, 75 & 100 patches.  David will send out an e-mail to describe the program.

U8 Program Curriculum:  (David Ward) The U8 teams will have one night of training together (as many teams that can be coordinated) and one night of team training.  David provided a Training guide for U8 coaches and will complete 12 training sessions for the season.

New Business:  (All)

Al was contacted by Active.com for online registration for Urbana Soccer.  It would cost approximately $5 per registration and would eliminate required mailings.  This will be looked into for future registration but was it was decided that the Association is currently too small to take on this expense.

Monthly meetings will now be held on Tuesdays.

A flyer will be sent to the coaches detailing the DC United game at the Soccerplex in Germantown on Wednesday, March 9th at 7:30.  The cost is $20 per person or $16 if a minimum of 20 seats are purchased.  The seats are General Admission.

The meeting was adjourned at 9:11 pm.

Next meeting will be February 15th, 7:30pm.
