Urbana Soccer Association Monthly Meeting

Attendees:  Al Selwyn, Karen Selwyn, David Ward, Harry Hurst, Andy Keen, Herbert Avila, Stephanie Downs, Brian Downs

 

 

USA President David Ward called the meeting to order at 7:37 pm. 

 

Minutes:  The March meeting minutes were approved by David Ward and seconded by Andy Keen.

 

Registrar’s Report:  (Karen Selwyn)   Fall Registration will be in June.  Registration packets will be mailed to current Urbana players.  Walk-in Registration will be held during the week of Division 1 Tryouts (week of June 6th) and on June 25th at the Urbana Pavilion.

 

FCPS Field Usage Fees:  (David Ward) The County has voted in a public school usage fee for all community use.  It will cost Urbana Soccer Association approximately $2100 for our current field use.   The cost to cover this expense was voted and approved as a $5 increase in the registration fee per player beginning with the Fall 2005 season.

 

Refrigerator Magnets:  (David Ward) A magnet with Urbana phone numbers and the Urbana website (with addition information if possible) will be given out to players by the coaches with Participation Awards in the fall. 

 

Treasurers Report:  (David Ward) The Field Fund has $5,745.45 and the Operating Budget has $19,846.00 in the treasury.  The following expenses still need to be paid: Field Fund for Spring season, Participation Awards, Tournament fees.

 

Vice President’s Report: (Andy Keen) Important Note: No one can practice at Windsor Knolls Middle School on Friday, May 20th.  The parking lots must be clear for a school event.  Field requests are due the last week in May for FCPS fields.  Insurance forms will need to be requested.  David will talk to LUYAA on current field use.

 

Secretary’s Report: (Stephanie Downs) Nothing to report.

 

Coaches Education:  (David Ward)   Graham Ramsey may come out to do a training session and UK Elite is willing to come out for a training session at Urbana.  There will be a C License course given at the Maryland Soccerplex on July 30-April 7th.  There will also be a D License course given in Sykesville on July 16-17 & July 23-24.  Information can be found at:   http://msysa.org/.  There is also a National Youth License course being given in Virginia on August 19-21. 

 

Field Maintenance:  (Rod McNiff) Not Present.  Coaches will continue to be sent e-mail reminders to complete field lining during the season as per the schedule that Rod will send out. Coaches should check that all goals are anchored in the ground with J-hooks.  Contact Rod if there is a problem, rod1@adelphia.net. End of season maintenance needed: Move portable goals.  Lock goals to fence on Upper field.

 

Equipment:  (Herbert Avila).  Herbert provided a spreadsheet with equipment purchases vs. budgeted costs.  Herbert purchased several types of Agility equipment (located in the shed), balls, first aid supplies, goals and anchors.  Nice job, Herbert!

 

Merchandise (Harry Hurst) There will be Urbana Merchandise available for purchase during the U6 Group Sessions on Saturdays from 8:30-10:00 a.m. (on the Lower field).  Harry will attempt one additional time to contact individuals that had previously ordered merchandise.  If he does not succeed, he will give the merchandise to the applicable coaches.  

 

MSYSA Meeting:  (Al Selwyn) Al and Karen viewed the new on-line registration program that will be used by MSYSA for club teams.  Recreation leagues can still provide a file to register.  New By-laws related to the Treasurer were voted in.  A new President was also elected.

 

Fall Div 1 Bylaw Amendment (Andy Keen) The new Bylaw Amendments (8.01A & 8.01B) were approved as written.  The Amendments were previously sent out by e-mail to the Association.

 

Fall Div 1 Tryouts (David Ward)   Division 1 Tryouts for the Fall 2005 Soccer Season will be held from 6:00-8:00 p.m. on the following dates:   Monday, June 6th (U10), Tuesday, June 7th (U12), Wednesday, June 8th (U14).  Thursday, June 9th & Friday, June 10th will be reserved for rain dates.  Boys will be on the Upper field and Girls will be evaluated on the Lower field.  A second Tryout session will also be held on Saturday, June 11th (Boys on Upper, Girls on Lower):  10:00-12:00 (U12), 12:00-2:00 (U14), 2:00-4:00 (U10).

 

College Scholarship:  (Al Selwyn) The scholarship forms are now at UHS and will be advertised through the Soccer coaches and will be on the announcements.  A copy of the scholarship application is also available on the Urbana website. Deadline is May 7, 2005.

Coaches Game/Picnic:  (Stephanie Downs) The Coaches picnic will be held on Sunday, May 22nd at 4:00 p.m.  Stephanie will send out an email invitation to all the coaches & volunteers. 

 

Election Nominations –Vice President and Treasurer:  (David Ward) Nominations will be accepted for Vice President and Treasurer as these positions will be vacated in May.  Nominations to the Board of Directors may be made by any member in good standings prior to the voting at the May meeting, and will also be taken from the floor at that meeting. Nominations can be submitted to David Ward.  Nominees must indicate their willingness to accept the position, if elected, either in person or via proxy.  Duties of the Vice President and Treasurer can be found at http://www.urbanasoccer.org in the Bylaws section.

 

Participation Awards (Brenda Rayno)   Not Present. The participation awards will be distributed by coaches at the end of the season.

 

Pictures (Charlotte Jordan)  Not Present.  Team pictures will finish (hopefully, the weather cooperates) in the next two weeks.

 

End-of-Season Party (David Ward)  Leslie Wagner, Kelley Doane & Keina Kipp have volunteered to organize an End-of-Season party for the Association! They are looking for sites.  The date of the event is TBA.

 

BOD Member to FCYSL Meeting April 27th-Final Registration (David Ward) Stephanie Downs will attend the FCYSL Meeting on April 27th to hand in the final registration for the Spring season.

 

End-of-Season Tournament (David Ward)  BASC Tournament, June 18-19 (U10 & up), MAYAA, June 11-12 (to be confirmed for U8), McSoccerfest, June 25-26 (4v4, U6-Adults).  All Urbana teams are encouraged to attend one End-of-Season Tournament.  The Association will reimburse BASC & MAYAA tournament fees.

 

Summer Pick Up Games (David Ward)  There will be weekly Summer pick up games at the Upper Field starting Tuesday, June 14th from 7:00 p.m. to dark.  The games will be for high school age players and adults.

 

Camps: (Al Selwyn) The South County Soccer Camp will be at Urbana High School, June 20-24.  The UKElite Camp will be July 11-15 at Urbana Park.

   

Shooting Wall (David Ward) The shooting wall is not yet finished.  It should be ready for the Fall season!

 

U8 Play Day with FC Frederick – June 4  (David Ward)  The U8 teams from Urbana will be joining the U8 group from FC Frederick for a Play Day on Saturday, June 4th from 9:30-10:30 a.m. at T.J. Middle School.

 

U8 PentaLeague with FC Frederick  (David Ward)  David will set up a meeting with FC Frederick to discuss having a U8 league with FC Frederick and Middletown with 5v5 games for the Fall Season.

 

U8/U10 Agility/Speed Training with Xtreme Acceleration (David Ward)  Urbana is looking into the possibility of offering Agility/Speed training for our U8 & U10 players in the Fall.  The training would be provided by professional trainers with Xtreme Acceleration.  David will call Xtreme Acceleration to discuss pricing per session.

 

Additional At-Large BOD Members (Stephanie Downs)  Tabled for the May meeting since a Bylaw change is required. 

 

New Uniform Coordinator Needed (David Ward)  A new coordinator is needed for the Fall.  We are looking for an individual that wants to be involved in our organization.  This position requires keeping and stocking inventory, ordering uniforms (after Fall registration is complete), taking jerseys to the Printer, picking up uniforms, sorting and distributing uniforms before the first game.  Storage space is required.  Please e-mail David Ward if interested.

Multiple Child Discount was discussed and dismissed.

 

The meeting was adjourned at 9:20 p.m.
